Job Description:

Oversees and directs PEC’s Real Estate Portfolio and Transaction Management requirements to assure the portfolio is operating as efficiently and cost effective as possible and the needs of the Operations Group are met. Has responsibility over lease administrative and security third party services, liaison with National Real Estate Brokerage, and creates and maintains annual budgets for Facility Management (FM), CAM (Common Area Maintenance) and Security Operations. Manages and coordinates the renovation/remodeling of new and existing facilities, lease negotiations and disposal of obsolete properties.Ensures that Real Estate activities are consistent with and support the growth of company initiatives.

Acts as the in-house single point of contact and maintains communications with appropriate internal departments and outside parties (Landlord, Brokers, Contractors Legal Services, etc.) including coordinating information, due diligence and analysis to successfully complete projects within the approved project guidelines.

Works with internal departments and operations to identify real estate requirements (new properties, reconfigurations, M&R and dispositions).

Facilitates the completion of the business case approval; provides budget costs and time-frames to internal business groups.

Manages external real estate resources (legal, brokerage, contractors/vendors) for each transaction including lease negotiations, contract creation and administration.

Develops and tracks all project budgets and schedules to ensure objectives are met.

Manages team that oversees lease administrative services through third-party vendor that ensures PEC remains in compliance of its lease obligations including alert management of upcoming key lease deadlines, options, expirations, subtenant defaults, etc.

Prepares and circulates monthly lease obligations and ongoing projects summary reports.

Prepares correspondence for recovery of associated funds, security deposits, and landlord allowances. Completes desktop CAM audits – coordinates with landlords to reconcile.

Manages third-party FM services to assure ongoing and taught-out properties are maintained and lease obligations including surrenders of property are met.

Prepares periodic (monthly/yearly) financial reports identifying key metrics (Janitorial, Utilities, M&R) including payment schedules, work orders, variance analysis.

Directs staff and/or vendors responsible for the planning and coordination of employee office/workstation or department moves within the Chicagoland region. Coordinates the involvement of other necessary departments in move planning (IT, Mailroom, Desktop Support, Security).

Manages security services through vendor, both guard service as well as network security system, with the manager responsible for security reporting directly to Real Estate Director – Portfolio Services.

Manages the process with security and risk areas to maintain proper life safety programs and executes on emergency procedures for all administrative facilities and campuses at the direction of senior management.

Submits yearly real estate budgets to finance department including potential capital and CAM, FM Services (Utilities, Janitorial, and M&R) and security. Once approved, monitors and adjusts, as necessary.

Reviews, on annual basis, Emergency Response process/ procedures for all PEC properties.

Responsible for the proper surrender of the remaining Transitional schools- will coordinate with both internal/external resources and communicate with Property Management to assure smooth transition.

Knowledge, Skills and Abilities, Competencies

Excellent customer service skills; ability to work with all levels of the organization.

Ability to reduce occupancy costs and contract with third-party vendors, consultants and contractors.

Must be flexible and customer-focused with ability to stick to task until project is successfully closed out.

Strong planning and organizational skills with detail-oriented focus.

Strong communications, project management and lease negotiating skills.

Ability to manage multiple projects simultaneously.

Highly skilled in contract / lease negotiations.

Possess solid analytical skills.

Computer skills with emphasis on Excel spreadsheet analysis, Word, Power Point and PeopleSoft Financials.

Understanding of financial reporting systems and ability to create and monitor budgets.

Education and Experience:Minimum

Bachelor degree in Business-Real Estate or Finance from an institution accredited by an agency recognized by the U.S. Department of Education (or international equivalent) or equivalent experience

7 – 10 years corporate/commercial real estate experience or related

Experienced in renovation/project managementprojects

Education and Experience:Preferred

Extensive knowledge of contract law, policies and practices relating to real estate transactions
